How to configure priority booking settings and setting VIP students

The Priority Booking feature on SwingMatch ensures that golf instructors can manage lesson availability based on priority levels, ensuring you are in full control of your time. This system helps instructors prioritize their VIP students and club members while also allowing for controlled access to public golfers.

Priority Levels

1. VIP Students (Highest Priority)

VIP students have the highest booking priority. They can:

  • Book lessons farthest in advance compared to other students.

  • Secure time slots before club members and public golfers.

  • They are hand selected by you.

To set a student as VIP, navigate to your students profile via student lists, chats, or previous bookings, and then click edit.

Note: VIP students will only have priority booking if VIP Priority is enabled.

You will then be taken to a screen where you can add private notes to their profile and enable them with VIP booking Priority.

Make sure to push save once you're done editing!

2. Club/Course Members (Second Priority)

Club members have priority after VIP students. To qualify as a club member, students must:

  • Select their home club or course within their SwingMatch account.

  • Enter a membership number.

  • They will receive booking priority over public golfers.

3. Public Golfers (Last Priority)

Public golfers have the lowest booking priority. Instructors have full control over public golfer booking options. They can choose to:

  • Allow public golfers to book all available lesson slots.

  • Limit public golfer bookings to a set number of days in advance.

  • Restrict lesson slots entirely from public booking.

Maximize lesson packages – At the end of the year, restrict bookings to VIPs only to use up their credits.

How Instructors Can Manage Priority Booking

Instructors have flexibility in configuring their lesson availability for each priority group. Here’s how:

  1. Click on Account then on Priority Booking

  2. Enable VIP Priority: Toggle the VIP setting and set the the number of days in advance that they can book with your set schedule.

  3. Enable Club Member Access: Allow club members to book before the public while ensuring their membership details are verified. Golfers can only become members of a club if they add their membership number to their account. To setup, you must have a added a schedule to your availability with a location, as you will need to choose a location (or multiple) that this priority applies to. Add the number of days in advance that they can book.

  4. Control Public Booking Availability:

    1. Set a maximum number of days in advance for public bookings.

    2. Restrict lesson slots so only VIP and club members can book.

    3. Open all slots for public booking if desired

      5. Once complete, review your priority booking settings and click "Save Settings".

This system helps instructors optimize their schedules, reward their most loyal students, and maintain flexibility in managing new lesson bookings.
