This article provides a full overview of how to read and make the most of your SwingMatch Golf financial report.

In this guide, we’ll walk you through the Reports section of your web app. These reports allow you to view a variety of data around your lessons, packages, payments, and monthly statements—helping you stay on top of your earnings and lesson activity at a glance.


1. Overview of the Reports Section

Your Reports section is divided into four main tabs:

  1. Summary – Provides high-level metrics and insights on lessons, earnings, and packages.

  2. Lessons – Lists individual lessons, with options to filter by payment status and lesson type.

  3. Packages – Displays package details, including purchase dates and status.

  4. Statements – Contains twice-monthly PDF summaries of your credit card transactions.


2. The Summary Tab

The Summary tab gives you a quick snapshot of your teaching business and payments on the platform. Here’s what you can expect to see:

  1. Total Lessons

    • The total number of lessons you’ve conducted on SwingMatch Golf.

  2. Total Earnings

    • The combined revenue from all lessons—whether they’re paid online or offline.

  3. Earnings from Packages

    • The portion of your total earnings that come from lesson packages.

  4. Saved Money on Online Transaction Fees

    • An estimate of how much you saved by not being charged platform transaction fees. We estimate this with an average of transaction rates that service providers bill.

  5. Online vs. Offline Breakdown

    • A quick overview of how many lessons were paid online versus offline.

  6. Paid vs. Unpaid Status

    • Displays the count of unpaid lessons (if offline) and those that have been marked as paid.

  7. Package Stats

    • Active Packages: Packages that still have remaining lessons or are not yet completed.

    • Completed Packages: Packages that have been fully used or are marked as complete.

This high-level tab is great for quickly assessing your business performance and identifying any outstanding lessons that need follow-up or payment completed.


3. The Lessons Tab

The Lessons tab dives deeper into individual lessons and offers a variety of filters and views:

  1. Filters

    • Paid/Unpaid: See which lessons are still awaiting payment (if offline) and which are fully paid.

    • Online/Offline/Packages: Break down your lessons by their payment method or whether they are part of a package.

    • Monthly: View lessons by calendar month to spot trends or track performance over time.

  2. Lesson Details

    • Each lesson entry can be clicked into, which shows all the information regarding the lesson.

    • For offline payments, you can mark a lesson as paid once the payment is received or send a reminder to your student.

  3. Best Uses

    • Reconciliation: Make sure every lesson that took place is accounted for and correctly marked as paid or unpaid.

    • Invoicing: If you create manual invoices or reminders, you can easily see which lessons need follow-up.


4. The Packages Tab

The Packages tab helps you track and manage all the lesson packages you offer:

  1. Filter by Status

    • Active: Packages currently in use with remaining lessons.

    • Complete: Packages where all lessons have been redeemed or the package is closed out.

    • All: Shows every package regardless of status.

  2. Sorted by Purchase Date

    • Packages are organized chronologically based on when they were purchased. This helps you quickly see the most recent purchases or check older packages.

  3. Package Details

    • You’ll see the package name or description, the date purchased, how many lessons have been used, and how many lessons remain.

    • This is where you can keep track of how close a golfer is to completing their package.


5. The Statements Tab

The Statements tab is designed to simplify your accounting for online (credit card) transactions:

  1. Twice-Monthly PDFs

    • Statements are generated and posted twice per month, summarizing all credit card transactions processed through the web app. If you did not take credit card payments for lessons, you will not receive a PDF statement.

  2. Contents of the Statement

    • Transaction Date and Amount: Each lesson’s online payment will be listed with the date.

    • Fees (if applicable): Although instructors may not pay platform fees, standard payment processing details (e.g., Stripe’s fees) may still be shown for clarity.

    • Net Payout: Indicates the amount that gets deposited to your connected bank account.

  3. How to Use Your Statements

    • Download or Print: Each statement is a downloadable PDF for your records.

    • Recordkeeping and Tax Purposes: Use these statements to track revenue and for filing taxes.


6. Tips for Maximizing Your Reports

  1. Set a Regular Schedule

    • Review your summary weekly or monthly to make sure all lessons are accounted for and payments are settled.

  2. Use Filters Strategically

    • Filtering lessons by paid/unpaid or online/offline helps you identify exactly which lessons need follow-up at a glance.

  3. Keep Packages Updated

    • Mark packages as complete once all lessons are used to keep your active package list clean and accurate.

  4. Leverage Statements for Accurate Accounting

    • Always compare your Statements tab with the payouts in your Stripe (or other payment processor) account to confirm everything matches up.

1. Can I change a lesson from offline to online payment after it’s been booked?

  • Currently, you may need to cancel the existing booking and re-book with the correct payment type. Contact support if you need help.

2. What if I see a discrepancy in the Statements tab?

  • In the Lessons tab, locate the lesson, click the lesson, and mark it as paid once you receive the payment in person or by another method.

4. Can I print or export the Lessons or Packages tabs?

  • PDF statements are only available in the Statements tab and you can save the PDF to your preferred source.
