This article explains how to handle common lesson actions: accepting, rescheduling, and canceling. These features ensure that both instructors and golfers can coordinate lessons smoothly while maintaining clear communication and expectations.
Accepting a Lesson
Golfers book a lesson based on the instructor’s posted availability.
Instructors receive a lesson request (SMS text message) and can accept it directly, or propose a reschedule if the requested time is not suitable.
For all credit card payments, the maximum time allotted to respond to a lesson request is 7 days as this is when payment authorization is cancelled and subsequently, the lesson. We recommend responding within 3 days for the best experience.
Once accepted by the instructor, the golfer will receive a confirmation so everyone knows the agreed-upon date and time.
Rescheduling a Lesson
Rescheduling gives flexibility if either the golfer or instructor needs to change the lesson time.
For Golfers
Choose a new time from the instructor’s posted availability.
Submit the request, and the instructor will receive a notification to confirm or decline.
For Instructors
Select a new time from your availability or suggest a time outside your usual schedule. The green highlighted dates indicate your (instructor) posted availability.
Once proposed, the golfer will receive a notification to confirm or decline.
Important Details
The non-requesting party must confirm a reschedule request before it is final.
Notifications are sent to the other party (golfer or instructor) whenever a reschedule request is made.
The instructor has the final say on the rescheduled time.
Canceling a Lesson
Cancellation is generally considered a last resort If either party must cancel, they have the option to add a text note to provide a reason why. Below are the policies that usually apply:
If the Golfer Cancels
Within 24 hours of the lesson: The golfer may not receive a refund or may forfeit a lesson credit from their package.
More than 24 hours before the lesson: Typically, a full refund or lesson credit is returned, but the instructor can make the final call.
By booking on SwingMatch, you acknowledge these policies.
If the Instructor Cancels
If an instructor must completely cancel (rather than reschedule), and the golfer has already paid by credit card, the golfer is entitled to a full refund.
No-Shows
If a golfer does not attend the lesson without notice, this is treated as a complete loss of the lesson and payment.
Instructors have the discretion to waive this policy at their own discretion, but the standard practice is to forfeit the lesson and any associated credit or payment.
Notifications
Both the golfer and the instructor receive notifications (SMS text message) whenever the other party requests a reschedule or confirms/cancels a lesson.
These notifications help ensure clear communication and avoid any scheduling confusion.
Summary
Accept lessons to confirm scheduling.
Reschedule lessons if either party needs to propose a new time. Both parties must confirm.
Cancel lessons only if absolutely necessary; last-minute cancellations or no-shows may result in forfeited payments or lesson credits.
By understanding these policies and using the reschedule and cancel features responsibly, golfers and instructors can maintain a smooth, respectful scheduling process. If you have any additional questions, please contact our support team.
