Managing a Camp or Clinic After Registration Opens

Where to find your camp or clinic once students start registering, how to work with the participant list, message the group, export the roster, cancel, and handle refunds.

Once your camp or clinic is set up and students begin registering, most of the day-to-day work happens on the event's detail page. This article covers what you can do there from the first registration through to the last session.


Finding your camp or clinic

  • Lessons tab — every camp event and clinic session appears as a card under Upcoming. Filter by Group to see only these. Tap a card to open the detail page.

  • Schedule tab — select the offering to see all its events or sessions in one list. Past and cancelled ones stay in the list, labelled Past or Cancelled.

  • Lesson History — past and cancelled camps and sessions also appear here. Cancelled ones are labelled so you can still open them and see who was registered.


What the detail page shows

At the top you'll see three buttons: Start Group Chat, Share Lesson, and Delete or Cancel (see Cancelling below). Below them:

  • Event card — price per person, capacity and enrolled count, a badge such as "2-Day Camp", and a row for each day with its date, start time and duration. Tap Edit on this card to change the event.

  • Registration Window — the current status (Open, Not Yet Open, Closed) and the open and close times if you set them. See Setting registration windows.

  • Participants — everyone who has registered, with any additional participants they added (shown as "+1" with the name) and their answers to your booking questions. Until someone registers it reads "No participants yet".


Working with the participant list

Adding someone after registration closes

The registration window only stops students from booking. You can still add a student yourself at any time by sending them a lesson invite: open the student's profile from My Students, tap Book Lesson, and choose the camp or clinic. This is the instructor-controlled way to handle the late sign-up who emails you the night before.

Removing a participant

Open the participant's booking from the Participants list and cancel it. Their spot is released back to the capacity, and if you have a waitlist the next person is notified that a spot has opened. Cancelling a booking does not refund the payment automatically — see Refunds below.

Exporting the roster

In the Participants section, tap Export Responses. You get a spreadsheet with each participant's name, contact details and booking-question answers. Use it for a printed roster, attendance, sharing with an assistant coach, or contacting families outside the app.


Messaging everyone at once

Tap Start Group Chat at the top of the detail page. Every registered student is added automatically, and anyone who registers later is added too. Tick Notify students via SMS when you send an urgent update such as a weather change. See Group Lesson Chats.

Only the person who made the booking is in the chat. Additional participants they added at checkout (for example a second child) are not, so messages go to the parent, not the child.


Changing dates, times or capacity

  • Capacity can be changed at any time from the offering's edit page (minimum 2, maximum 50).

  • Camp dates and times — tap Edit on the event card. Every day except Day 1 can be changed after the camp is created; Day 1 is locked because it anchors the event. Registered families see the updated schedule and receive an update notification.

  • Students cannot reschedule a camp or clinic themselves. If a family needs a different date, cancel their booking and book them into another event.


Cancelling or deleting a session or camp

The button at the top of the detail page depends on whether anyone has registered:

  • No participants yet — the button reads Delete. Deleting removes the event entirely. Use this to clean up an event you created by mistake or never promoted.

  • One or more participants — the button changes to Cancel. Cancelling notifies every registered student and keeps the event visible in the Schedule tab and Lesson History with a Cancelled label, so you can still open it, see the participant list, and message the group about alternatives.

Either way, tap the button and confirm.


Refunds

Cancelling a session, a camp, or a single participant's booking does not refund anyone automatically. For each participant who paid by credit card, open their booking and tap Refund in the payment section. You can refund the full amount or a partial amount. See Refunding a Payment.

Participants who paid you directly (offline) are settled between you and them.


Good to know

  • Camp and clinic registrations are confirmed automatically. There is nothing for you to approve.

  • Camps do not support packages. Each registration is a single payment.

  • If you run the same camp several times a season, create a new camp event for each run rather than editing the dates of a finished one, so each roster stays intact.
