Personal events let you put things that aren't lessons (a dentist appointment, a tournament, a day off) on your SwingMatch calendar. SwingMatch then:
Stops students booking you at that time. This is optional: you choose per event.
Shows the event on your Schedule next to your lessons and open time.
Adds it to your phone calendar if you've connected Google Calendar or Outlook, with the title, time and full address.
You no longer need to create a fake lesson or invite to block time.
Add an event
Go to Schedule and choose the All tab.
Add the event:
Computer: click + Add Event at the top right of the calendar.
Phone: tap the + button at the bottom right, then Add Event.
Fill in the details:
Title (required), for example "Dentist" or "Club championship". Only you see it.
All day. Turn this on for a whole day, or for several days in a row.
Date, Start and End. The end time starts one hour after the start and moves with it until you change the end. When you edit an event, moving the start keeps the event's length.
Start date and End date (all-day events). An all-day event can cover up to 28 days. For a longer break, add more than one event.
Time zone. This starts as your usual time zone. Change it when the event is somewhere else. For example, if you travel to a tournament in Phoenix, choose Arizona time and enter the times as they are in Phoenix.
Show as. Choose Busy or Free (see below).
Location (optional). Search for a place or type a name. Choosing a real place adds its full address to your phone calendar.
Notes (optional). Only you see them.
Click Save event.
Timed events must start and end on the same day (they can't run past midnight) and be at least 5 minutes long.
Busy or Free?
Busy (the default): students can't book a private lesson with you during the event, including the gap you've set between lessons. On your booking page those times simply don't appear.
Free: the event shows on your calendars as a reminder, but students can still book you then.
Busy events only affect private lessons. Group sessions, clinics and camps are never blocked by your events.
What students see
Students never see your event's title, notes or location. On your booking page, the time is simply not available.
To check, open View my public profile and go to your booking page. It shows exactly what students see.
Booking over your own event
You can still book a private lesson yourself at a time covered by your event, for example if plans change. SwingMatch shows a yellow Your event warning naming the event. It's only a reminder; you can continue. The same warning appears when you reschedule a lesson onto one of your events.
Adding an event over lessons you already have. If you add a busy event at a time when you already have lessons or group sessions booked, SwingMatch lists them before you save. You can still save the event. Your lessons are not changed or cancelled; move or cancel them from the lesson itself.
Scheduling a group session or camp over your event. A yellow Overlaps your event note appears under that day. You can still save.
Your events on the Schedule
On Schedule → All:
Busy events show as grey blocks, and Free events with a dashed grey outline.
All-day and multi-day events appear in a row at the top of the week on a computer, and above the day's timeline on a phone.
Open time: busy events reduce the open hours shown for each day. A day that's fully covered by a busy event shows Blocked by event.
Filter: use the Events button above the calendar to show or hide your events.
Change or delete an event
Click or tap the event on your Schedule to see its details, then choose Edit or Delete.
Delete is permanent. The event is also removed from any connected Google or Outlook calendar.
Past events can't be edited. Once an event has ended you can still view or delete it.
Your events in Google Calendar or Outlook
If you've connected Google Calendar or Outlook (the Calendar card on Account → General), SwingMatch creates a calendar called SwingMatch - Events in that account and keeps your events there.
It's created automatically once you have at least one event.
It copies the title, time (in the event's own time zone), all-day events, notes, the location with its full address, and Busy or Free.
It covers events from today up to 90 days ahead. Later events are added as their date gets closer.
Changes usually appear within a few minutes.
Make changes in SwingMatch, not in Google or Outlook. An event you edit or delete directly in Google or Outlook may be changed back the next time SwingMatch syncs. You can change the calendar's colour there.
The Calendar card shows how your events calendar is doing: syncing, setting up, needs attention (the alert on the card explains what's wrong) or paused (reconnect your calendar).
If you subscribe to the read-only calendar feed instead, your events are included in your feed. Students' feeds never include your events.
Good to know
Repeating events (for example every Tuesday) aren't available yet. Add each one separately for now.
Text reminders: events aren't included in the 6 pm next-day text reminder yet.
Academy calendar: if you coach for an academy, the academy calendar doesn't show your events yet. Students still can't book you during busy events.
Every plan: events are available to every coach.
FAQ
A student says a time isn't available, but I have nothing booked. Check Schedule → All for a busy event at that time, including an all-day event. Also check which of your Google or Outlook calendars are ticked in the Calendar card; their busy times block bookings too.
I added an event but it's not in my Google Calendar. Check the Calendar card on Account → General. If it says needs attention, the alert explains what's wrong; if it says paused, reconnect your calendar. Events more than 90 days away are added later.
My event shows at the wrong time in Google. Check the event's Time zone in SwingMatch. Times are entered in the event's time zone, not the time zone you're in.
