Sending announcements to your students

Announcements let you email news to your students all at once: open lesson times, clinics, events, anything you'd like them to know. Each student chooses whether to get them.

Announcements are in beta testing. If you're a Pro or Academy coach and want access, reach out to us.

Where to find it

Open Messages and tap the Announcements tab, next to Chats. If you don't see the tab, Announcements isn't switched on for your account yet.

Step 1: Add your mailing address

Anti-spam law requires every announcement email to show a mailing address. Yours appears in small print at the bottom of each email.

  1. In the Mailing address field, start typing your street address and pick it from the list.

  2. Prefer not to share your street address? Tap Use a PO box instead.

You only do this once. You can change it later.

Step 2: Invite your past students

You can send a one-time invite to students who have booked with you, asking if they'd like your announcements. You can only do this once, so it's worth adding a short personal note.

  • Students choose Yes, keep me posted or No thanks. Nobody is signed up unless they say yes.

  • You'll see how many have said yes so far. You'll never see who said no.

  • After the invite goes out, wait 7 days before your first announcement so students have time to answer.

Students can also sign up any time with the bell on your profile, the box at checkout when they book you, or their account settings.

Step 3: Write and send

  1. Tap New announcement.

  2. Add a Subject and your message. You can use bold, italics, lists and links. Photos aren't supported. Tap Insert first name to greet each student by name.

  3. Under Who gets it, choose Everyone, or narrow it by Tags or schedules and Booked in the last 30, 90, 180 or 365 days. You can also untick students or add them by name.

  4. Tap Send myself a test to see exactly what students will get.

  5. Tap Send now or Schedule… (up to 30 days ahead).

Send now gives you 2 minutes to undo before anything goes out. After that, an announcement can't be edited or deleted. If you edit a scheduled announcement, it goes back to drafts. Schedule it again when you're ready.

Only students who said yes appear in the list. Students who said no never appear.

What students get

  • An email from "Your Name via SwingMatch Golf", with buttons to message you and view your page.

  • Replies go straight to your email address.

  • The announcement also appears in the Announcements tab of their app.

  • Every email has a link to turn off your announcements. Booking emails and reminders aren't affected.

See how it did

Open a sent announcement to see the results by student name:

Tab

What it shows

Sent

Who it went to. Bounced emails show Didn't arrive.

Opened

Who opened the email. Some mail apps open every email automatically, so this can be higher than the real number.

Clicked

Who clicked a link.

Read in app

Who opened it in the SwingMatch app.

Issues

Who it didn't reach, and why (for example, Email address not confirmed yet).

You'll see names, but not email addresses.

If your announcements are paused

If you see "Your announcements are paused", SwingMatch has paused sending on your account, usually after spam reports or delivery problems. You can still write drafts and send yourself tests. If you think it's a mistake, contact us to appeal.

Good to know

  • Announcements are only emailed to students who have confirmed their email address. Students who haven't confirmed theirs still see your announcements in the app.

  • Students who booked with you offline (without an app account) can't get announcements.

  • Subjects can be up to 150 characters, and messages up to 5,000.

  • For a single camp, clinic or group lesson, use its group chat instead. See Group Lesson Chats.
